August 13, 2021 – DerpyCon 2021 COVID-19 Policies

The safety and wellbeing of all of our attendees, staff, and guests is our number one priority. We, alongside our venue, are working to ensure that everyone who attends or helps to make DerpyCon happen will work to keep everyone safe. DerpyCon encourages all who may not be feeling well at the time of the event to stay home and participate in our Online event!

Vaccination Requirements

All attendees, staff, guests, DerpyCon affiliates, and those participating in DerpyCon’s 2021 in-person event are required to present either proof of COVID-19 vaccination or a negative COVID-19 test result in order to attend DerpyCon 2021 in person. Admittance will be denied otherwise (those currently ineligible for vaccinations, such as those under the age of 12, will not be required to present either and still attend the convention).

In order to receive your DerpyCon 2021 Badge, you will need to present one of the following along side your photo ID:

  • Record of COVID-19 Vaccination (dated no later than 10/13/2021).
  • Proof of Negative COVID-19 test results (dated no earlier than 10/26/2021).

COVID-19 vaccination records can be presented as the physical vaccination card, NYS Excelsior Pass, NYC COVID Safe Pass, Docket, doctors vaccination record, certified vaccination record app, or photograph of vaccination card (front and back). Note that the name on your vaccination card and/or negative test must match that of your ID.

Those currently not eligible for the vaccine will not be required to present proof of vaccination or a negative COVID-19 test. Any parent/legal guardian planning to accompany any children under 13 must present proof of vaccination or negative COVID-19 test results.

Anyone failing to comply with the above vaccine requirements will not be permitted to attend our in-person event. This is to ensure the safety and wellbeing of our attendees, staff, guests, and other DerpyCon affiliates.

If you require an exemption from this policy due to pre-existing conditions, you will need to visit our Public Safety office. Reasonable accommodations will be carefully reviewed and determined on a case-by-case basis.

Masks at DerpyCon

Masks will be required to be worn by all attendees age 2 and older. This also includes all vendors, artists, panelists, guests, DerpyCon Staff, Volunteers, and anyone affiliated with or participating at the in-person event.

Masks are to be worn in all public, and convention-operated spaces. This includes, but is not limited to:

  • Exhibits:
    • Dealers Room and Artist Alley
  • All rooms containing DerpyCon Programming:
    • Panels
    • Main Events
    • Viewings
    • Video Gaming
    • etc.
  • All public, high-trafficked areas which at times may be more difficult to properly social distance from others:
    • elevators
    • hotel lobby
    • atrium
    • etc.
  • All Operations spaces:
    • Con Ops
    • Public Safety
    • Cosplay HQ

Masks may be removed temporarily in the following situations:

  • Cosplayers for cosplay photos and for walking onstage for the Cosplay Showcase, while properly social distanced
  • While eating or drinking in designated areas
  • Other areas as approved by DerpyCon’s Public Safety team, the venue, and/or the Convention Chairpersons.

Individuals observed to not be wearing masks properly or at all in convention-operated spaces will be asked by a member of DerpyCon Staff to wear a mask as per our COVID-19 Policies.

Individuals who repeatedly violate DerpyCon’s COVID-19 Policies, or that refuse to wear a mask may have their membership to DerpyCon 2021 revoked and may be asked to leave convention-operated spaces.

If you require an exemption from this policy due to pre-existing conditions, you will need to visit our Public Safety office. Reasonable accommodations will be carefully reviewed and determined on a case-by-case basis.

If you see a member of DerpyCon’s Staff, Volunteers, or other affiliates not wearing a mask, please feel free to contact Convention Leadership by phone or text at 973-969-1192.

These Policies may be altered or updated at any time. Any changes will be announced on our social media channels and in our DerpyCon Newsletter.

April 13, 2021 – DerpyCon Sanitation and Refund Policies for 2021

DerpyCon’s number one priority is the safety of the members of our community. We are aware of the current situation regarding the coronavirus (COVID-19) and are taking precautions to protect the health and safety of everyone involved with the convention. We are consulting health experts and monitoring recommendations from the Center for Disease Control (CDC), World Health Organization (WHO), and local healthcare professionals to ensure that we are considering and providing the most accurate and up-to-date information regarding the coronavirus.

At this time, we are still planning to hold DerpyCon 2021! We will ultimately need to adhere to local and official guidelines as the event draws closer, and we will keep our attendees and other members of our community informed of any changes via our social media outlets, website, and e-mail newsletter.

We are actively taking steps to ensure the safety of the members of our community, which include:

  • Increased sanitation accommodations and recommendations for both our staff and our attendees. DerpyCon will continue to work to provide a safe, fun, family-friendly environment for everyone!
  • We are revising our DerpyCon 2021 Refund Policy for our Attendees! These changes include:
    • Refunds of purchased badges may be given up to 24 hours prior to the start of DerpyCon 2021. Attendees will need to submit a ticket to our HelpDesk in order to receive a refund. All refunds will be for the amount of the badge type purchased.
    • Rollovers of DerpyCon attendee badges from 2021 to 2022 may be given to any attendee badge type. Attendees will need to submit a ticket to our HelpDesk in order to have their membership rolled over to 2022. Badge types rolled over will remain the same badge type.
  • Any other Badge type (such as our Exhibitors, Press, Industry, etc.) will be given further instructions via e-mail.
  • If you have any additional questions regarding Refunds or Membership Rollovers, please contact our Registration Department via our Attendee HelpDesk.

We want to thank all our staff and volunteers who are continuing to work hard to make the convention a success! Planning for this year’s event began in 2018, and many of our Staff also dedicate their time to helping our fellow conventions or working on the next DerpyCon. We can never thank our Staff enough for their passion, dedication, and hard work.

  • If anyone is interested in Staffing or Volunteering with us, in addition to our current staff and volunteer positions, our Personnel Department and Convention Leadership are working on new staff and volunteer positions and alternative perks to still allow for you to help with the convention.
  • Our Staff Applications and Volunteer Applications will open soon. If you have any questions in the meantime, feel free to contact our Personnel Department via the Attendee HelpDesk!

DerpyCon would like to advise any of our attendees, staff, or other members of our community to remain safe and not attend the event if you are not feeling well.

We want to thank everyone for your support and understanding, and that we will update via our Social Media outlets and our newsletter as soon as we know more. If you have any questions or concerns, please feel free to contact us via our HelpDesk.
